Using custom products and service lines in quotations

Add a furniture item outside the catalog or an interior-design service to a quotation. Keep quotation-specific records distinct from maintained catalog products.

Avoid unnecessary catalog records for one-off products

A custom bench or a table designed for one project can be quoted as a special product line. This record describes that quotation rather than requiring every catalog classification merely to present a price. The name, description, price and supporting notes or files should allow sales and production staff to understand the same item.

Add repeatable products to the catalog

If the custom item will later become part of standard sales, use the add-to-catalog choice. Category and other catalog fields then become available. A category helps staff find the product; collection, brand and supplier fields are completed where genuinely relevant. Requiring those classifications for an item that will remain quotation-only adds unnecessary work.

Do not treat services as manufactured products

Interior design, delivery and installation can be included in a customer quotation, but they do not carry the same manufacturing meaning as physical products. Choose the correct line type and explain the service scope and price. Product-specific options describe an adjustment for that item. Use note visibility to distinguish customer information from accounting or production instructions.

  • Use quotation-only records for genuinely one-off items.
  • Choose catalog inclusion when a product will become repeatable.
  • Explain the difference between a service scope and a physical product.
Catalog inclusion is a maintenance decision. Avoid leaving a temporary item in the permanent catalog with incomplete information simply to prepare a quotation faster.
