From furniture quotation to sales order: a controlled workflow

Manage customer choices, discounts, tax and payment planning together. Treat quotation approval and production readiness as separate checkpoints.

Keep customer selections in one cart

During an initial consultation, products and fabrics may change several times. Linking the cart to the customer keeps those decisions together as an ongoing piece of work. Record catalog products, quotation-only custom items and services such as delivery or interior design using the appropriate line types. Treating a service as a physical product can create confusion in later production and delivery steps.

Make the price structure understandable

Base product prices, customization adjustments, line discounts, order discounts and tax contribute to the final amount. Company settings determine whether customization differences are shown separately or included in product prices. Define discount permissions and limits in advance. The document should communicate the currency and tax treatment clearly, while retaining the calculation context of currency conversion.

Preserve the history of issued quotations

Silently changing an issued quotation makes it difficult to establish what the customer actually received. In Furnidesk, a quotation can be withdrawn into the cart for correction before a new quotation is created. Use the appropriate visibility for customer-facing notes and notes intended for accounting, management or production. Apply the same distinction to attached files.

Complete sales and production preparation separately

Converting a quotation to a sale involves payment planning and company policies. A sales record does not automatically mean that every item is ready for production. Fabric codes, dimensions, custom instructions and required files need to be completed per product. Where accounting approval is enabled, the sale passes through that checkpoint before production acceptance.

  • Associate the cart with its customer and choose accurate line types.
  • Separate customer-visible information from internal instructions.
  • Review production readiness for every product after the sale.
The customer document and the production instruction are different checkpoints within the same order. Keep their responsibilities clear.
